Job Description Summary
The University of Pennsylvania's Abramson Cancer Center (ACC) seeks a full-time Grants Coordinator B ("Coordinator") to support the ACC Senior Finance Manager ("Manager") by providing financial administrative support from research study initiation (e.g., industry-sponsored, investigator-sponsored, and cooperative group studies) through closure.

Job Description

Specific responsibilities include (but are not limited to):

  • Review study protocols and grants and work with the Billing Compliance Office to ensure appropriate designation of procedures (i.e., research or third-party payer) and assist with inquiries as required. This may include developing budget proposals for investigator-initiated studies.
  • Develop initial study budgets as well as any amendments (i.e., create spreadsheets, obtain costs, and facilitate budget review by the Budget Administrator) and assist with negotiations as required. This includes sending notification messages and emails (on behalf of the Business Office) to internal and external stakeholders, updating them about the status of budgets and amendments.
  • Work with Legal Affairs to finalize the budget and contract. Process initial budgets and amendments (from a financial aspect) through the Office of Clinical Research (in the Perelman School of Medicine) in a timely manner.
  • Associate study milestones to study budget calendars, and work with the Finance Office to invoice sponsors, develop financial reports, identify inappropriate billings, and follow any unpaid invoices.
  • Provide quality management by periodically reviewing ongoing research studies to ensure all potential costs are delineated in the budget. This includes performing a crosswalk analysis of UPHS costs and study budgets.
  • Provide pre- and post-award grants management support including payroll, non-payroll, and effort reporting. Act as the point-of-contact for faculty/staff and ensure compliance with federal and non-federal guidelines.
  • Assist the Manager with ad hoc tasks and projects as assigned, which may include preparing regulatory documentation, providing pre- and post-award support to faculty/staff, training faculty/staff on best practices as it relates to study costs and financial management of research studies, and providing coverage for other Business Office staff.
  • Additional duties as reasonably assigned.


QUALIFICATIONS:

Bachelor's degree with 2-4 years' experience in clinical or research finance in an academic health center, commercial company, or contract research organization or equivalent combination of education and experience required. Knowledge of and demonstrated competency with information systems (i.e., word processing, spreadsheets, etc.) and compliance related to the management of federal and non-federal sponsored research. The ideal candidate will have direct experience with study cost budgets, CPT terminology, and protocol development. Training in web-based applications that support University-wide financial functions (e.g., BEN Financials, Penn ERA, etc.) preferred. Strong verbal and written communication skills required.

Work outside of regular business hours may occur. This position is contingent upon continued funding.

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
