This is a full-time, non-exempt, 40 hours per week, 52 weeks per year position. Regular hours are Monday - Friday from 8:00 a.m. - 4:30 p.m., some flexibility required. Madison College offers a generous benefit program including health and dental benefits. The employee selected will serve a twelve (12) month introductory period. This position does not offer a relocation package.

This position is located in the vibrant and diverse city of Madison, Wisconsin's 2nd largest city and state capitol. Organizational Function and Responsibilities:

This position supports Special Population programs regarding financial aid processes, documentation submission, and provides outreach for access and student success needs. The Outreach Coordinator conducts file review of Title IV program eligibility, verification, professional judgment, and other related duties.

This position reports to the Associate Manager of Advising and Outreach within Financial Aid.

Essential Duties:
  • Works with special population programs (Scholars of Promise, Men of Excellence, TRiO, Avid Tops and Second Chance Pell programs) serving as a direct contact providing case management, process resolution, and funding options for enrolled students.
  • Explains federal and state regulations and guidelines concerning student financial aid programs.
  • Provides assistance, counsel, and information to students, faculty, staff, and the public, concerning financial aid programs and requirements.
  • Resolves complaints and problems related to financial aid programs, policies and student eligibility
  • Manages the awarding of the Scholar of Promise Scholarship and Second Chance Pell award during the academic year by verifying eligibility requirements and determining award amounts.
  • Assists financial aid team with community and college-wide outreach activities such as WolfPack Welcome, Advising and Registration, high school nights, and other events.
  • Conducts financial aid outreach workshops and calling campaigns with at-risk students within special population programs
  • Maintains a commitment to the college mission, vision and values. Comply with college policies, directives, and work rules. Engages positively with colleagues, handles conflict directly and professionally, contributes to team discussions, collaborates and helps colleagues, assumes the best from colleagues, provides and accepts constructive feedback, follows through on commitments, and supports final decisions that are made.
  • Other duties as defined by department, college, or officials.


Knowledge, Skills, and Abilities:
  • Skill in communicating effectively and professionally, both orally and in writing.
  • Demonstrated skill in communications and human relations with populations of diverse socioeconomic and cultural backgrounds and persons with disabilities.
  • General knowledge of financial processes and challenges of at-risk student populations along with a working knowledge of federal and state financial aid regulations and best practices.
  • Skill in dealing courteously, tactfully and with extreme attention to detail while dealing with high volumes of students and the public. This includes demonstrated skill handling escalated situations and distressed individuals, while handling sensitive issues with confidentiality
  • Ability to troubleshoot and resolve problems as they arise with the ability to use critical thinking skills to answer a variety of questions and determine the best course of action for the student.
  • Ability to work independently the majority of the time while also being able to establish and maintain effective working relationships
  • Demonstrated ability to use a variety of technologies including multi-function printers, facsimile machines, networked phones (CISCO) and computers, Microsoft Team Dynamics (CRM), enterprise content management (OnBase), and student information systems (PeopleSoft).


Qualifications:

1. Associate's degree or two-year technical diploma/certification from an accredited institution in education, business administration, office administration or related field OR two (2) years (4,000 hours) of directly related work experience.
  • *Experience used as an equivalent of an educational requirement is in addition to any experience required by the position.

2. Two (2) years (4,000 hours) of directly related work experience within a higher education institution. This experience must also include one (1) year (2,000 hours) of demonstrated experience in a cash-handling environment.
