Administrative Assistant 4 - Health Sciences & Public Safety Division

Job Summary/Basic Function:
Typical duties:
-Provides administrative support to the dean as required;
-Develops budget estimates, monitors and controls budget expenditures in consultation with the dean;
-Compiles data and prepares budget proposals for new, continuation, and competitive renewals on grants and contracts;
-Compiles and enters division course data in order to develop class schedules;
-Calculates and tracks quarterly and annual faculty teaching loads. Processes, checks and submits quarterly Personnel Action Forms for division faculty;
-Provides administrative support for the division curriculum development process;
-Coordinates space assignments for laboratory and classroom areas; assists in preparation of long-range plans for space utilization and renovation;
-Orders supplies and equipment. Authorizes equipment repair/renovation;
-Monitors and tracks course enrollment data. Identifies low-enrollment courses.
-Conducts or oversees the preparation of student surveys of division faculty;
-Develops and maintains schedule for employee evaluations;
-Manages assignment of faculty offices, keys, mailboxes, and phone numbers;
-Works with division staff to maintain division web pages;
-Responds to inquiries from faculty, students, staff and community;
-Performs other duties as assigned

Minimum Qualifications:
-Associate degree
-Four years of experience performing high level administrative duties
-Experience developing budget estimates and monitoring budget expenditures
-Passion and commitment for providing excellent customer service
-Effective interpersonal and communication skills
-Demonstrated ability to multitask and prioritize projects in order to meet deadlines
-Attention to detail in the areas of data entry, data reporting, and record keeping
-Intermediate skill set in Microsoft programs (Word, Excel, Access, Powerpoint)

Preferred Qualifications:
Previous administrative experience in an educational environment
