Job Summary:

Join the Colorado School of Public Health as an Operations Coordinator (Open Rank Business Services Entry - Intermediate Professional). This position is a key member of the school's Lifecourse Epidemiology of Adiposity & Diabetes (LEAD) Center that will support administrative and operational activities for the center and its senior leadership team.



The Operations Coordinator will have the opportunity to significantly contribute to a mission-driven organization and work alongside leading experts in public health. This position will oversee operational and procurement responsibilities, as well as provide general facilities and office support in the Anschutz Health Sciences Building on the CU Anschutz Medical Campus.

Key Responsibilities:
  • Greet guests and serve as LEAD's first point of contact for university colleagues, external affiliates, and study participants visiting the Center.
  • Assist with calendar management, meeting scheduling, travel arrangements, reimbursement and expense reallocation for faculty, staff, trainees, and visiting guests.
  • Coordinate logistics for LEAD seminars and special events, including itinerary development and distribution, meeting room reservations, catering, event set-up and clean-up, and travel coordination for visiting guests and speakers.
  • Assist with LEAD employee onboarding (workspace assignment, technology needs, key requests, etc.) and offboarding (updating contact lists, cancelling building access and credit cards, etc.).
  • Coordinate matters involving facilities management, IT support, and telecommunications for the Center.
  • Process faculty procurement card and travel card expense reports monthly.
  • Place orders in the university Marketplace system in accordance with fiscal policy.
  • Act as custodian for gift card recognition program, including maintaining tracking logs and periodic reconciliations.

  • This position can be offered as part-time (0.5 FTE) to full-time (1.0 FTE) based on candidate availability. This position reports to the Associate Director of Research Administration.

The LEAD Center is a multidisciplinary research center that investigates and seeks to understand the developmental origins of health and disease, particularly obesity, type 1 and type 2 diabetes and the complex interplay of environmental exposures, genetic and epigenetic processes in critical developmental periods across the lifecourse.

Qualifications:



Entry Level
  • A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.



Intermediate Level
  • A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.
  • One (1) year of professional level experience in an administration setting.

  • Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.



Preferred Qualifications
  • Prior work experience in business or research office administration.
  • Experience and knowledge of financial applications that include CU procurement and accounting software such as Peoplesoft, Concur, and/or Marketplace.
  • Experience managing professional calendars and scheduling meetings and rooms.
  • Experience with event management or coordination.
  • Experience using or developing forms in Smartsheet.



Conditions of Employment
  • This is an in-person position located at the LEAD Center on the CU Anschutz Medical Campus.
  • Must be available to start work no later than 8am on weekdays whether full-time or part-time.
  • Occasional evening and weekend work may be required for special events.



Knowledge, Skills, and Abilities
  • Strong organizational skills, including ability to prioritize and multi-task, and demonstrated ability to self-manage priorities and be proactive in resolving issues.
  • Ability to communicate effectively, both in writing and orally.
  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
  • Strong customer service skills.
  • Demonstrated experience in fostering a community that values a wide range of backgrounds, experiences, and perspectives.
  • Proficiency in Business English, spelling, punctuation and grammar.
  • Proficiency in using Microsoft Office software (Word, Excel, Outlook, PowerPoint).

Anticipated Salary Range:

The starting target salary for this position has been established as:
  • Entry Level: $51,437 - $56,000 (1.0 FTE)
  • Intermediate Level: $55,975 - $63,000 (1.0 FTE)

The above salary represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation depending on the level.
