Job Description:
The Postdoctoral Program Coordinator and Administrator handles the day-to-day administrative operations for Brown-paid postdocs in the Division of Biology and Medicine, and provides administrative support to the Associate Dean for Training and Program Development.
This position is relied upon to organize, track, and analyze information, and generate data reports to effectively support the work of the Office of Postdocs and Early Career Programs (PECP). The incumbent will coordinate with BioMed departmental staff to ensure postdocs in the Division of Biology and Medicine transition smoothly through their appointments and reappointments. This position will also sustain our social media and web presence, manage communications with postdocs and faculty in the Division, and collaborate as needed with the Office of University Postdoctoral Affairs (OUPA) and Biomed Office of Graduate Studies (OGS) to create and maintain career development workshops/seminars/events. The incumbent will also assist the Associate Dean for Training and Program Development with scheduling and meetings, provide support for the various training and program development projects aimed at postdocs and early career faculty, and manage/coordinate pertinent documents and communications associated with this role.
JOB QUALIFICATIONS:
Education and Experience
- Required: Bachelor's degree
- Required: 1-2 years of relevant or closely related experience required,
- And/or equivalent combination of education and experience.
- Experience working in a university setting strongly desired.
Job Competencies
- Strong organizational, administrative, and time management skills required.
- Ability to work in a deadline driven environment and manage multiple priorities.
- Initiative and judgment to independently problem solve and prioritize.
- Strong quantitative skills with the ability to perform intermediate-level calculations (e.g., salary adjustments, benefits calculations) accurately and efficiently.
- Proficiency in Microsoft Excel, including use advanced spreadsheet features such as formulas and pivot tables to analyze and present data.
- Confident public relations and interpersonal skills. Competent oral and written communication skills and good command of English language and grammar necessary.
- Demonstrates initiative and ability to work independently, but also as a strong team member when the situation warrants.
- Attention to detail and accuracy required.
- Demonstrated proficiency with Google online collaborative software (Sheets, Docs, Sites, Forms), Microsoft Word, PowerPoint, Adobe Acrobat Pro.
- Experience with Filemaker Pro and Qualtrics survey software preferred.
- Some travel may be required. This position represents the Office at the Annual Meetings of the National Postdoc Association (NPA).
- The ability to take pro-active measures to become and remain informed about University and NIH policies and initiatives and the role of the postdoctoral trainees in the Division of Biology & Medicine to support the Associate Dean's Office in planning, prioritizing, and communicating to achieve desired results.
- Interest in maintaining and continuing to advance computer skills.
